Dear applicant,
We are pleased that you are interested in us and that you are applying or have applied for a position in our company. We would like to provide you with the following information on the processing of your personal data in connection with your application.
The protection of your personal data is important to us. Personal data is information about personal or factual circumstances of an identified or identifiable natural person. This includes, for example, the civil name, address, telephone number and date of birth, but also all other data that can be related to an identifiable person.
Our data protection practices comply with the statutory regulations, in particular those of the German Federal Data Protection Act (BDSG) and the EU General Data Protection Regulation (GDPR). The following data protection information serves to fulfil the information obligations arising from the GDPR. These can be found, for example, in Art. 13 and Art. 14 ff. GDPR.
The controller within the meaning of Art. 4 No. 7 GDPR is the person who alone or jointly with others determines the purposes and means of the processing of personal data.

We process the data that you have sent us in connection with your application in order to check your suitability for the position (or any other open positions in our company) and to carry out the application process. For this purpose, the applicant's applicant master data, CV information, qualifications and certificates are processed, as well as data on bank details (for the purpose of reimbursement of travel expenses) or, if applicable, information on disability/severe disability. The following processes are necessary:
- Transfer of applications from the e-mail function mailboxes,
- Processing of applications received by post and fax applications,
- Compiling an overview of the applications received.
Automated profiling by the controller does not take place.
The legal basis for the processing of your personal data in this application procedure is primarily Art. 6 para. 1 subpara. 1 lit. b GDPR. Accordingly, the processing of data is permitted for the implementation of pre-contractual measures that are necessary in connection with the decision on the establishment of an employment relationship.
Should the data be required for legal prosecution after completion of the application procedure, data processing may be carried out on the basis of the requirements of Art. 6 GDPR, in particular to safeguard legitimate interests pursuant to Art. 6 para. 1 subpara. 1 lit. f GDPR. Our interest then lies in the assertion of or defence against claims.
If special types of personal data within the meaning of Art. 9 GDPR are processed (e.g. health data), the legal basis is Section 26 (3) BDSG or Art. 9 (2) (b) GDPR in conjunction with Art. 6 ( 1 ) GDPR. Art. 6 para. 1 subpara. 1 lit. b GDPR.
The processing of applicant data may also require consent in accordance with Art. 6 para. 1 subpara. 1 lit. a GDPR if an applicant is to be included in an applicant pool for possible future collaboration. Consent is voluntary and can be withdrawn at any time with effect for the future. No disadvantages arise from the non-granting or revocation of consent.
Your data will be stored or collected both digitally (in our document management system and, if applicable, in our applicant management software) and in paper form.
Applicant data will be deleted no later than 6 months after the rejection is issued in the event of a rejection.
If you have consented to further storage of your personal data, we will transfer your data to our applicant pool. There the data will be deleted after two years.
Your data for the purpose of inclusion in our applicant pool for possible future collaboration will be deleted by us immediately after your cancellation, provided that the deletion does not conflict with any statutory retention requirements.
If you have been accepted for a position as part of the application process, the data will be transferred from the applicant data system to our personnel data system.
We use the career portal "Karriere Nordhessen" (GfP - Gesellschaft für Personalkonzepte mbH, Bewdley Platz 20, 34246 Kassel-Vellmar, Germany) for the application process. This company acts as a service provider for us and may also obtain knowledge of your personal data in connection with the maintenance and servicing of the systems. We have concluded a so-called order processing contract (AVV) with this provider, which ensures that the data processing is carried out in a permissible manner.
Your applicant data will be reviewed by the HR department after receipt of your application. Application documents are only made accessible within the company to those persons who are directly involved in filling the position. Suitable applications can then be forwarded internally to the person responsible for the respective open position. The next steps are then agreed. Within the company, only those persons have access to your data who need it for the proper conduct of our application process. No data is transferred to third parties, especially not to another country.
Your data will be stored in accordance with the statutory provisions and, where possible, on servers in Germany or within the European Union.
Your rights as a "data subject"
You have the right to information(Art. 15 GDPR) about the personal data we process about you. In the case of a request for information that is not made in writing, we ask for your understanding that we may then require proof from you that you are the person you claim to be
Furthermore, you have a right to rectification(Art. 16 GDPR) or erasure(Art. 17 GDPR) or to restriction(Art. 18 GDPR) of processing, insofar as you are legally entitled to do so.
YOU ALSO HAVE THE RIGHT TO OBJECT(ART. 21 GDPR) TO PROCESSING WITHIN THE SCOPE OF THE STATUTORY PROVISIONS. The same applies to the right to data portability(Art. 20 GDPR).
